Getting a better understanding of our supporters through their personal information allows us to fundraise more efficiently, which ultimately helps us to achieve our goal of bringing down the number of young people carrying knives in the UK.
The purpose of this Privacy & Cookie Policy ('Policy') is to give you a clear explanation about how Steel Warriors collects and uses personal information (or personal data) you provide to us and that we collect, whether online, via phone, email, in letters or in any other correspondence or from third parties.

Our newsletter brings you new gyms, free classes, events and ways to support Steel Warriors. You can subscribe in three ways:
We only ask for your email address. By subscribing you give us your consent to send you our emails, and that consent is the legal basis we rely on. We never sell your email address or share it with other organisations for their own marketing.
We send our emails using Mailchimp, which stores your email address on our behalf and only uses it on our instructions. Mailchimp stores data in the United States, and those transfers are protected by the safeguards that UK data protection law requires. Like most email services, Mailchimp tells us whether our emails are opened and which links are clicked, so we can make them more useful.

When you register for our free classes or programmes (we use a system called Upshot), we ask for details such as your name, date of birth, contact details and postcode. We may also ask about your gender, ethnicity and any disability or health condition. We use this information to run safe sessions, contact you about them, and understand who we are reaching.
Information about ethnicity, disability and health is sensitive, so we handle it with extra care. We only report it to funders and partners in grouped, anonymised form, so no individual can be identified.
For children and young people, we follow our Safeguarding Children & Young People Policy, including getting parental or carer consent before taking photos or video of participants under 16.
Keeping people safe comes first. If we are worried that a child, young person or adult is at risk of harm, we may record that concern and share relevant information with the police, local authorities or other agencies, without consent where the law allows it and it is needed to keep someone safe. To raise a safeguarding concern or report an incident, use our concern form or email safeguarding@steelwarriors.co.uk. The form asks for your name, contact details and what happened, and is only seen by the people who handle concerns. If someone is in immediate danger, call 999.
If you use social media, we may use certain tools as part of our relationship with you, such as Facebook Custom/Lookalike Audiences. Through using these tools, we will provide some of your data to the social media platform to allow them to identify your social media profile. The platform will then show you relevant advertisements relating to Steel Warriors which we think you will be interested in seeing on your newsfeed, and will use your profile to identify those with similar characteristics who may also be interested in finding out more about Steel Warriors and the work we do.
In broad terms, our "legitimate interests" means our interest in being able to run Steel Warriors as a charitable entity effectively in pursuit of our aims and ideals. This includes: sending direct marketing material to supporters by email for fundraising purposes; conducting research to better understand who our supporters are and better target our fundraising activity; measuring and understanding how our audiences respond to marketing activity so we can ensure our activity is well targeted, relevant and effective; providing information about knife crime and youth activities; processing donations; administering events; and staff recruitment, taking applications for volunteers and contacting volunteers about their role.
In many instances, we will rely on obtaining your consent to our use of your personal information in a certain way (for example, asking for your consent to send you direct marketing information). Consent can be withdrawn at any point by unsubscribing from an email or newsletter or by contacting us at team@steelwarriors.co.uk. You can subscribe to our newsletter here.
We may need to collect, process and disclose personal information to comply with a legal obligation. For example, where we are ordered by a court or regulatory authority, or we are legally required to hold donor transaction details for Gift Aid or accounting/tax purposes.
Steel Warriors treats personal data confidentially and does not sell any personal data that we hold. We may share personal data with the following parties when necessary to conduct our operations:
Steel Warriors takes its responsibility to protect personal data seriously. We ensure that our data is held securely within our main database. Only authorised employees and those who process data on our behalf (e.g. software suppliers) have access to data, and only the data that is necessary to perform the task is accessed and processed.
Steel Warriors will only store your data for as long as necessary and in line with the original purpose(s) for which it was collected. Steel Warriors also complies with its legal obligations to keep certain data for a period of time (e.g. Gift Aid declarations and financial transactions).
You are entitled to make a request to gain access to a copy of the data we hold and to find out how we use your data. You may make a request at any time by contacting team@steelwarriors.co.uk. Your request will be processed free of charge; in the event of repeated or excessive requests Steel Warriors reserves the right to charge a fee. When making a request, we will verify that you are who you say you are by checking appropriate forms of identification.
To make our communications relevant, Steel Warriors may capture the preferences and interests of individuals to personalise what we send to you. You have the right to object to Steel Warriors using your data for the purposes of direct marketing and profiling. Where prior consent has been given, you have the right to withdraw it at any point by unsubscribing from an email or newsletter or by contacting us.
If you no longer wish for Steel Warriors to store and process your data, you have the right to request that it be deleted. You can request this verbally or in writing and we will respond within one month. There are circumstances where we will be unable to erase data due to other obligations, for example where there are financial transactions on your record (where part of the data must be kept for a set period for financial and audit purposes), or where there has been a disciplinary or safeguarding issue. Full details and an explanation of our decision will be communicated to you.
If your data is inaccurate or incomplete, you have the right to request that we rectify it. Steel Warriors will respond to a request within one month of receipt. In certain circumstances we reserve the right to refuse a request (e.g. where there has been a disciplinary or safeguarding issue and the recorded information is a record of findings of an investigation).

Cookies are small text files placed on your device (computer, smartphone etc.) when you first visit a website, which monitor interactions with the site.
This website does not set its own cookies, and we do not use analytics or advertising cookies on it. If that changes, we will update this policy and ask for your consent first where the law requires it.

Some pages load content from other services: map tiles from OpenStreetMap on our locations page, press logos from Wikimedia, our film on the Impact page (it only loads from Vimeo if you press play, and we ask Vimeo not to track you), and our donation, newsletter and concern forms, which take you to JustGiving, Mailchimp and JotForm. These services receive your IP address so they can show you their content, and may set their own cookies. Our social media pages (such as Instagram, Facebook and X) are run under those platforms' own privacy and cookie policies.
